Before you start
- Use a desktop browser and sign in to the Vrbo Owner Dashboard with access to Payments and reports.
- If a property manager controls the Vrbo partner account, ask that account holder to run the exports.
- Write down the required date range and whether you need one listing or the entire portfolio.
- Use CSV when Vrbo offers CSV or XLS. Keep XLS only when CSV is not available.
Step-by-step
Part 1 — Download the payout summary
This is the primary Vrbo financial export. It covers completed bookings used to calculate gross bookings, deductions, and payouts.

Open the correct listing or account
Sign in to the Vrbo Owner Dashboard. If Vrbo asks you to select a property, choose the listing you are exporting first.

Open Statements and reports
From the menu, select Payments, then Statements and reports.

Select Payout summary
Open the Payout summary tab. If it is not visible, confirm that the signed-in user can view payout information for that listing.

Set the date range
Enter the Start and End dates. For an annual export, use January 1 through December 31. For a large history, export one calendar year at a time.

Choose what the dates represent
In Includes, choose stays within the date range for operational booking history. If you are reconciling deposits or a 1099-K, also download a second report using payouts within the date range.

Download and preserve the report
Select Download and choose CSV when offered. Save the file immediately and keep the original columns and filename.

Repeat for other properties
If the dashboard exports only the selected listing, switch properties and repeat with the exact same dates.
Step-by-step
Part 2 — Add the supporting reports
These files improve property matching and tax or commission reconciliation. Some tabs appear only for eligible accounts.

Export the property inventory
Under Select a Property, choose See all properties, then Download CSV. This creates a property inventory that helps match Vrbo listing IDs to property names.

Export the stay-tax report
Go to Payments, then Statements and reports, and open Stay tax. Apply the same date range and select Download. This tab appears only after a booking includes stay or lodging tax.

For integrated property managers, export commission statements
In Statements and reports, find the applicable invoice, open the three-dot menu under Downloads, and select Download CSV. Repeat for every month in scope.

Keep the files together
Place all untouched downloads in one folder named with the platform and date range, such as Vrbo_2025. Do not merge worksheets or delete empty columns.
A calendar iCal link is useful for availability synchronization, but it is not a complete historical export and does not replace payout, tax, or reservation-level reports.
Ready-to-send checklist
- The payout summary covers the full requested dates and the intended basis: stays, payouts, or both.
- Every property in scope was exported or is present in a portfolio-level report.
- Refunds, cancellations, and negative transactions remain in the report.
- The property inventory and tax or commission reports are included when available.
- No spreadsheet was reformatted, sorted, combined, or saved over the original download.
Action Ledgers handoff
Keep every original Vrbo file together. Action Ledgers will validate the source and report format for your workspace before importing or reconciling the data.
Troubleshooting
Statements and reports is missing
Your user may not have financial permissions, or an integrated property manager may control the account. Ask the Vrbo partner account holder to export the report.
The Stay tax tab is missing
Vrbo displays it only after at least one booking includes a stay or lodging tax transaction. Continue without it if the tab is not available.
Only one property appears
Vrbo may scope a payout summary to the selected listing. Export each listing separately, then include the property inventory CSV so IDs can be reconciled.
